1Who is responsible

2What we process

• Account data: email address, display name, app language, sign-in method (email code, Apple, Google).
• Business memory: business name, sector, the services you offer, preferred contact channels, tone, working hours, currency and the notes you write.
• Job records: title and description, customer name, amount, due and reminder dates, status and notes.
• Vault documents: the files you upload and the text extracted from them.
• Generated text: the input you give the AI and the output it returns.
• Usage records: which operation ran and when, allowance consumed, token and voice-duration counters.
• Technical records: IP address, device and app version, session and security logs, notification token.
• Support messages: the requests and feedback you send us.

3Voice-created jobs

When you describe a job out loud, the recording is processed to turn it into text. The audio is not stored on our servers; only the transcribed text is kept, as part of your job record.

4AI processing and international transfer

To generate text, your input and — as far as it is needed — your business memory are sent to and processed by our provider OpenAI (United States). Voice input is sent to the same provider for transcription. This transfer is necessary to provide the service. Our servers are hosted in Germany (Hetzner). Apple and Google infrastructure is used for notifications, and an email provider for delivering messages.

5Purposes and legal bases

• Providing the service, creating and managing your account — performance of a contract.
• Generating AI output and keeping its quality — performance of a contract and legitimate interest.
• Security, abuse prevention and debugging — legitimate interest.
• Managing subscriptions and allowances — performance of a contract.
• Meeting legal obligations — legal obligation.
• Sending notifications — the permission you grant on your device.

6Retention

Account and content data are kept while your account exists. When you delete your account, the account, job records, vault documents, generated text and device records are permanently deleted. Limited technical records that must be kept for security or legal reasons are retained for the period the law requires. Verification codes expire within minutes.

7Who we share with

• AI and speech-to-text: OpenAI (United States).
• Hosting: Hetzner Online GmbH (Germany).
• Notifications: Apple Push Notification service, Google Firebase Cloud Messaging.
• Email delivery: our email service provider.
• Subscriptions: the App Store and Google Play.
• Public authorities, where legally required.

Your data is not sold and is not shared with third parties for marketing.

8Your rights

You can ask whether your personal data is processed, request information about it, learn the purpose and whether it is used accordingly, learn the third parties it is transferred to at home or abroad, have it corrected if incomplete or wrong, request its deletion, ask for those steps to be communicated to the recipients, object to a result produced solely by automated analysis, and claim compensation for damage. Write to support@writask.app; you will get an answer within thirty days at the latest. To delete everything yourself, use Profile > Delete account in the app.

9Security

Connections are encrypted in transit, the session token is held in the device's secure storage, verification codes are stored only as hashes with a limited number of attempts, and server access is restricted to authorised people.

10Children

The app is not intended for people under 18 and we do not knowingly collect their data.

11Changes

When this text is updated, its version and date change; you will be told in the app about significant changes.
